Common issues and how to resolve them

Setup Issues

"Verification failed"

DNS method: Wait longer (up to 72 hours) or check that the TXT record was copied exactly as provided. Some hosting providers add extra characters or quotation marks.

HTML file method: Verify the file is accessible by visiting the URL in a browser. If a 404 error appears, the file isn't in the right location.

HTML tag method: Check that the tag is in the <head> section, not the <body>, and hasn't been modified.

"Sitemap couldn't be fetched" (During Setup)

Check that:

  • The sitemap URL is correct
  • The sitemap file is publicly accessible (not behind a login)
  • The robots.txt file isn't blocking Google from accessing it
  • The website is online and functioning

"No data available"

This is normal for the first few days. Google needs time to crawl the website and collect information. Check back in 48-72 hours.

Multiple properties showing up

If both a Domain property and URL Prefix properties were verified, several properties for the same website might appear. This is fine. Focus on the Domain property if available, as it provides the most complete data.

Can't find DNS settings

Contact the hosting provider's support. They can either make the change or guide to the right place in the control panel. Have the verification TXT record ready to provide them.

Connection Issues

"No Google Search Console Connection Found"

Cause: The Google Search Console account isn't connected to KopplaHQ.

Solution:

  1. Go to Settings > Integrations
  2. Click "Connect" next to Google Search Console
  3. Sign in with the Google account
  4. Grant the requested permissions
  5. Return to SEO Manager

"Property Not Found"

Cause: The website being accessed isn't verified in the Google Search Console account.

Solution:

  1. Visit Google Search Console
  2. Add and verify the property
  3. Wait 24 hours for data to populate
  4. Return to KopplaHQ's SEO Manager

"Access Token Expired"

Cause: The Google connection needs to be refreshed.

Solution:

  1. Go to Settings > Integrations
  2. Click "Disconnect" next to Google Search Console
  3. Click "Connect" and sign in again
  4. Return to SEO Manager

Sitemap Issues

"No Sitemaps Found"

Cause: A sitemap hasn't been submitted to Google Search Console yet.

Solution:

  1. Visit Google Search Console
  2. Go to Sitemaps in the left menu
  3. Enter the sitemap URL (usually yoursite.com/sitemap.xml)
  4. Click Submit
  5. Wait 24-48 hours for it to appear in KopplaHQ

Sitemap Shows 0 URLs

Cause: The sitemap file might be empty or not formatted correctly.

Solution:

  1. Click "Validate" next to the sitemap
  2. Review any validation errors
  3. Check the website platform's sitemap settings
  4. Ensure the sitemap is actually generating content
  5. Use the validation preview to verify URLs are present

"Couldn't Fetch" Error

Cause: Google can't access the sitemap file.

Solution:

  1. Visit the sitemap URL directly in a browser
  2. Verify the file loads without errors
  3. Check that it's not blocked by a login page
  4. Ensure the robots.txt allows sitemap access
  5. Contact the web host if the file won't load

Sitemap Stuck in "Processing"

Cause: Google is still crawling the sitemap. This is normal but can take time.

Solution: Wait 3-7 days. Google processes sitemaps based on the site's crawl budget and can take up to a week. If it stays processing for more than 10 days, check Google Search Console directly for more details.

URL Inspection Issues

"Inspection Failed"

Cause: Temporary API error or rate limiting.

Solution:

  1. Wait 60 seconds
  2. Try inspecting the URL again
  3. If it continues, try again in 24 hours (you may have hit daily quota)

Different Status in Google Search Console

Cause: KopplaHQ caches inspection results for 24 hours.

Solution: Click "Inspect" again on the URL to fetch fresh data from Google.

"Not Inspected" Never Changes to Status

Cause: The inspection button might not have been clicked, or there was an error.

Solution:

  1. Ensure you clicked the "Inspect" button
  2. Watch for a loading indicator
  3. Check for error toasts (red notifications)
  4. Try clearing your browser cache
  5. Refresh the page and try again

Can't Find a Specific URL

Cause: The URL might not be in the sitemap.

Solution:

  1. Use the search box to filter URLs
  2. Check if the URL is actually in the sitemap
  3. Visit the sitemap file directly to verify
  4. Update the sitemap to include the URL
  5. Resubmit the sitemap to Google

Data Sync Issues

"Last Synced" Shows Old Timestamp

Cause: Automatic refresh might have failed.

Solution: Click the "Refresh" button in the top right to manually sync with Google Search Console.

Resubmit Button Not Working

Cause: The account might be on a free plan, or there's a temporary API issue.

Solution:

  1. Verify there's a Premium plan (Settings > Billing)
  2. Check for error messages after clicking
  3. Try refreshing the page
  4. If issues persist, contact support

Changes Not Appearing

Cause: KopplaHQ caches data for performance. Changes may take a few minutes to appear.

Solution:

  1. Use the "Refresh" button to force a sync
  2. Wait 1-2 minutes for cache to clear
  3. Refresh the browser page
  4. Changes from Google Search Console itself can take 24-48 hours to appear

Performance Issues

Page Loading Slowly

Cause: Large sitemaps or slow API responses.

Solution:

  1. Wait for the initial load to complete
  2. Use filters to view smaller subsets
  3. Avoid inspecting all URLs at once
  4. Clear the browser cache
  5. Try again during off-peak hours

Inspection Taking Too Long

Cause: Google's API response time varies.

Solution: Wait up to 30 seconds for each inspection. If it times out, try again in a few minutes.

Getting Additional Help

If these solutions have been tried and issues persist:

  1. Note the specific error message appearing
  2. Take a screenshot of the issue
  3. Contact KopplaHQ support with:
  • The website URL
  • What was being attempted
  • The error message or unexpected behavior
  • Steps to reproduce the issue

For urgent issues affecting search visibility, prioritize fixing them directly in Google Search Console while the KopplaHQ connection is investigated.

Limitations to Keep in Mind

  • Google's Timing: The SEO Manager shows data from Google Search Console. Google's own indexing can take days or weeks. KopplaHQ can't speed up Google's processes.
  • API Quotas: Google limits daily inspections to 2,000 per account. If this limit is hit, try again tomorrow.
  • Cache Delays: Data caches for up to 24 hours. For the absolute latest data, use Google Search Console directly.
  • Processing Time: Sitemap resubmissions take 1-7 days to process. This is controlled by Google, not KopplaHQ.
  • Historical Data: KopplaHQ shows current status only. For historical indexing trends, use Google Search Console's interface.
